The Global HeartStrings Supply Box Kit

Most musicians have things lying around that they don’t need.  “Old” strings, sheet music that’s the “wrong” edition, rejected reeds, or even a shoulder rest from a smaller instrument.  Wouldn’t it be great if there was a way to donate these extra items to less fortunate musicians who could really use them?  With your help, we can.  All you need to do is assemble a supply box, distribute a few flyers, and check the contents every couple weeks.  The rest will take care of itself. 

Why a supply box?

Running a full supply-gathering drive can be time-consuming and can only take place every once in a while.  Friends forget to bring their supplies, or they leave town and don’t even know it’s happening!  With a supply box, everyone is able to donate any day of the year.  It’s easy for you - once it’s set up, all you have to do is empty it every two weeks, and contact Global HeartStrings when you’re ready to ship!

So how do I do this?

The first thing you need to do is download and print out our complete kit containing box labels, flyers, and instructions for assembly.  Next, you need a box, perhaps something about the size of a box of copy paper. (You want 9” x 12” sheet music to lie flat in it, but you don’t want it to take over the room.)  Glue or tape the labels onto your box as directed, and you’re ready to go! 

Where do I put this box?

The best place for your box is somewhere visible with high traffic, such as an orchestra mailroom, music school lobby, or teaching studio.  Be sure to post flyers around the building to let people know where to donate.  Be sure to also spread the word by telling all your friends and making an announcement, if possible.

How often do I check it?

Check your box regularly, at least every two weeks.  Remove donated items and put them in a safe place.  When you feel you have enough to ship, contact the Rachel Elizabeth Barton Foundation at rebfoundation@aol.com or 312-329-1170, and we’ll direct you further.

Global HeartStrings Supply Box Instructions

1. Print entire kit

2. Find a box no smaller than 9" x 12"

3. Cover all previous advertisements on box with printer paper or wrapping paper. Do not use construction paper, as the color will quickly fade. Tape or glue all edges firmly.

4. Take two plain 5" x 7" manila mailing envelopes and cut 2-3 inches off the back (shorter) side of the opening (where the metal piece is).

5. Cut envelope labels on the dotted lines (see kit).

6. Tape or glue envelope labels firmly to the remaining portion of the back side of your two envelopes.

7. Cut the folding flap (the gluey part) off both envelopes.

8. Tape or glue your envelopes to one of the long box sides (both on the same side).

9. Tape or glue one of the full-size posters to each of the short box sides.

10. If the other long side will be showing, print out a second set of posters and tape or glue them to the other long side.

11. Print ten each of the donation sheets and half-page flyers.

12. Cut sheets in half on dotted lines and place in envelopes on supply box.

13. Place supply box in a noticeable location (orchestra mailroom, teaching studio, music school lobby).

14. Post full-size flyers.

15. Check box every 1-2 weeks; remove donations to a safe location prior to mailing.

16. When enough supplies have accumulated, contact the Rachel Elizabeth Barton Foundation at rebfoundation@aol.com or 312-329-1170 to arrange for delivery.
